Choose customer access and location sharing
An open booking service and an account-based operation need different customer experiences. Decide who can join your site and how much live location detail customers need.
Make two separate decisions
Customer signup controls who can register with or join your site. Location sharing controls whether customers see the driver's precise position. Choose each policy for its own reason.
| Your situation | Consider | Why |
|---|---|---|
| You welcome new customers through a public link or QR code | Allow customer sign-ups | People can join without asking the office to create their customer record first. |
| You serve an agreed list of business accounts | Turn off customer signups and add customers through the Dashboard | Your staff controls who is added to the site. |
| Customers need to follow the driver's approach | Leave driver location visible | A live position can help with meeting or preparing for the driver, when current location data is available. |
| Customers need progress and arrival information without precise GPS | Hide driver location from customers | Keep location internal while continuing to provide job progress and available ETAs. |
For example, a courier serving only contracted offices can use staff-created accounts and hide precise driver location. A public delivery business can allow self-registration and show location. Either business can choose a different combination.
1. Choose who can sign up
Use an account with access to Site Settings, and confirm the active site before changing its policy.
- Open Settings → Site Settings.
- Find the Customer App section.
- Set Allow customer sign-ups to match your policy.
- Save the settings.
When enabled, customers can use the site's signup and join flow. When disabled, staff can still create customer records through the Dashboard.
Turning signups off does not remove existing customer accounts or act as a switch that stops all booking. Review account access separately when you need to change an existing customer's access.
Choose this policy before distributing your Customer App link, company code, or QR. If staff must add people first, say so alongside the link.
2. Choose what customers can see
- In the same Customer App section, find Hide driver location from customers.
- Turn it on to keep precise driver position internal, or off to allow customer-facing location.
- Save the settings.
This choice applies to both the Customer App and the public tracking experience. Hiding the position preserves customer ETAs; it does not disable the internal GPS data used to calculate them.
ETAs still need usable stop, location, and mapping data. This setting does not guarantee an ETA when that information is unavailable.
Continue sharing each job's own tracking link. A location policy and a secure, correctly addressed job link solve different problems.
3. Check the customer experience
Use a test site and fictional customer details before changing a live operation.
- Reopen Site Settings and confirm the saved values.
- Open the site's Customer App link in a private browser window. Check whether a new person can register or join according to your policy.
- If signups are off, check the staff-created customer onboarding flow you intend to use.
- Use a test job with a driver and current location data. Open its public tracking link and the same job in the Customer App.
- With location hidden, confirm neither customer view exposes the driver's position. Check job progress and available ETAs, and confirm the dispatcher still has the operational information they need.
If customers will see the location, verify that the driver is On Duty and that the Driver App has the location permissions it needs. See Driver App setup.
Troubleshooting
A customer cannot join using our QR code
Check that the code points to the correct site, then check Allow customer sign-ups. A working link can still lead to a site that requires staff-created access.
The driver is missing from the customer's map
First check whether location is intentionally hidden. If it is meant to be visible, check assignment, duty status, device permissions, and incoming location updates.
The driver is hidden and the ETA is also missing
Check the underlying location and mapping data. Hiding precise position is intended to preserve ETAs; it cannot supply missing data.
I changed the setting but another branch behaves differently
Check which site you edited and which site's link the customer opened. Verify each operating site's settings.
